Position Overview
The Scheduler ensures all customer deliveries and pickups are arranged and recorded accurately in our systems. They maintain scheduling data using computers, online portals (BlueJay, C3), phones, and other resources as required to report shipping or receiving information or update systems. This role consistently supports NewCold’s key performance indicators, customer satisfaction, productivity, accuracy, and a positive work environment.
Duties/Responsibilities:
- Coordinate the scheduling of inbound and outbound carriers, establish robust customer relationships, and address all requests with professionalism.
- Arrange all customer pickups and deliveries in the MLS system.
- Update online scheduling portals (BlueJay, C3) with appointments.
- Respond to all customer and carrier calls with the highest level of professionalism.
- Generate necessary reports for customer requirements.
- File paperwork appropriately and cycle full file boxes into storage.
- Distribute documentation to relevant parties.
- Maintain the facilities’ pickup and delivery schedule.
- Ensure the accuracy of all scheduling documents.
- Assist the management team with any special projects or requests as needed.
Additional Duties
- Crosstrain with other roles to provide coverage for other team members time off.
- Provide a helping hand to assist colleagues in carrying out tasks as required.
- Help maintain a clean and tidy work environment
- Continually look for opportunities for improvement and efficiency.
- Ability to work multiple shifts as required.
- Perform other related duties as assigned.
Required Skills/Abilities:
- Exceptional customer service skills.
- Strong attention to detail and organizational skills.
- Intermediate Computer Proficiency
- Excellent verbal and written communication skills.
- Ability to prioritize tasks and function well in a high-paced, stressful environment.
Education and Experience:
- High School Diploma or equivalent
- 1+ years of Microsoft Office Suite Programs (word, excel, outlook)
- Experience with Sharepoint
- MLS experience preferred but not required
- Experience with office equipment such as 10 key calculators, telephones, photocopiers, etc
Physical Demands:
- Must be able to lift/push/pull/carry up to 20 lbs repetitively
- Frequent bending/twisting
- Must be able to sit for extended periods, up to 10 hours per day.
